Programming documentation tools: space lists, brown sheets, analysis cards, room data sheets, and FRS

Each programming document answers a different question: How many spaces are needed? How large are they? What does one room require? How will a large team manage the data?
Key points
- Space lists: detailed lists of space requirements, including net assignable areas. They are the numeric backbone of the program — used to calculate usable and gross areas, ensuring accurate project size and cost estimates.
- Brown sheets: a visual tool for comparing the size and number of requested spaces. Spaces are grouped by department and type, which makes imbalances and issues jump out for discussion.
- Analysis cards: small cards that document individual ideas and concepts graphically — one idea per card. Used to organize thoughts and facilitate discussion with clients and end users.
- Room data sheets: detailed specifications for each room — floor plans, finishes, and mechanical requirements. Essential for complex projects so every room’s design criteria are captured.
- Facility Requirement System (FRS): a web-based / relational requirements database — a shared project database that can link requirements to a Building Information Model (BIM) for managing data on complex projects with many stakeholders.
